The Sales Agent on Your Website

Put an AI sales agent on your website: teach it, try it, and let it answer visitors, take their details and book meetings into your CRM.

A website you make in the AutomateNexus CRM website builder can have a sales agent of its own: an AI assistant in the site's chat that answers visitors from what you have taught it, finds out what they need, takes their details and books meetings on your calendar. Every lead lands in your CRM with what the agent learnt. This guide shows you how to switch it on, teach it, try it and see what it brings in. Allow about 15 minutes.

Before You Start#

  • You need a site made in the website builder under Marketing → CMS & Website Builder. See Build a Website with AI.
  • The agent uses AI. It runs on your own AI provider key or on AI credits. Without either, the tab says: "The agent cannot answer yet." Add a key in Administration → Integrations → AI providers, or AI credits in Administration → Plans.
  • To let it book meetings, make a booking page first under Scheduling → Booking.

Step 1: Open the Sales Agent Tab#

  1. Open the site in the website builder.
  2. Click Settings above the site, then the Sales agent tab. You can also type / in the website assistant's box and choose Set up the sales agent.

The tab has five parts: What it knows, How it talks, What it does, Try it and What came of it. Changes to what it knows happen straight away. Changes to how it talks and what it does are kept when you click Save at the bottom (it shows Not saved yet until you do).

Step 2: Teach It What to Say#

The agent answers only from what it knows, and nothing else is made up. It reads your site's pages and your business details by itself, and reads them again each time you publish. The tab shows how many pages it has read and whether it knows your phone, address and opening hours as the site states them. Click Read the site again to have it read the site now.

To teach it more, use the buttons under What it knows:

  • A web page: enter the page's address, beginning with https://. One page is read: the one at that address.
  • A file: a PDF, a Word document or a text file. Its words are read on your computer, and the file itself is not kept.
  • Some text: prices, policies, how you work, anything a visitor might ask about. Write at least a sentence or two.
  • A question and its answer: the question as a visitor would ask it, and your answer.

Each item shows Learnt, Waiting to be read or the reason it could not be read. Switch on Also answer from your public help articles to let it answer from the articles in your public help center as well. See Knowledge Hub and Your Public Help Center.

Step 3: Set How It Talks#

Under How it talks:

  • Its name: the name visitors see in the chat.
  • Manner: Warm and friendly, Courteous and precise or Brief and direct.
  • What it says first, unasked (optional): a short opening line, such as "Hi! Looking for something? I can help."
  • How you sell: who you serve, what to recommend to whom, what makes you different and what a good next step is.
  • What it must not talk about (optional): for example competitors, discounts, or legal or medical advice.

The agent replies in the language the visitor writes in.

Step 4: Choose What It Does#

Under What it does, switch on the jobs you want:

  • Take a visitor's details: the agent shows a short form in the chat, and each one becomes a lead in your CRM. Tick Ask for a phone number too if you want one.
  • Book meetings: choose a booking page. The agent shows its free times, and books the one the visitor picks. If the meeting is paid for, the agent gives visitors the link to its page instead of booking it in the chat.
  • Open a deal: when a visitor books a meeting or is ready to buy, a deal is opened on the first stage of your pipeline.

Under What it finds out about each visitor, click Add a question to add up to six questions, such as "What do they need?" or "When do they want to start?". It asks them one at a time, where they fit, and the answers are kept with the lead.

Under Who is told, choose When a visitor leaves their details, Only when a meeting is booked or Nobody: I will look in the inbox, and tick the team members to tell. If nobody is ticked, the workspace's owners and admins are told.

When the agent does not know the answer, it says so plainly and offers to have your team follow up.

Step 5: Try It Before Visitors Do#

  1. Click Save.
  2. Under Try it, click Try it out and talk to the agent as a visitor would. This works whether or not the agent is switched on.
  3. Click Start again for a fresh conversation.

Nothing in a try-out is real: no lead is made, nobody is told and nothing is booked. Try-outs stay out of your team's inbox and out of the agent's figures.

Step 6: Switch It On and Publish#

  1. Turn on the Sales agent switch at the top of the tab and click Save.
  2. Publish the site. The agent joins the site's pages the next time you publish, and stays until you switch it off.

To take it off the site, turn the switch off and save. The agent stops answering within a minute.

See What It Brings In#

What came of it shows the last 30 days: Conversations, Leads and Meetings booked. Try-outs are not counted.

Below the figures, Questions it could not answer lists what visitors asked that it did not know. Click Teach the answer to write the answer in one step, or Not needed to clear the question.

Each lead lands in your CRM with what the agent learnt, and the conversation is in your team's inbox like any other chat.

Tips#

Troubleshooting#

  • "The agent cannot answer yet": add an AI provider key in Administration → Integrations → AI providers, or AI credits in Administration → Plans.
  • "The agent is paused": your workspace reached its monthly AI spending limit. An owner or admin can raise it in Administration → Integrations → AI.
  • "It has not read any page of this site yet": publish the site, or click Read the site again. Until it is published, it reads your drafts.
  • "You have no booking page yet": click Open booking pages, make one, then choose it here.
  • "Enter the whole address, beginning with https://": paste the full web address of the page.
  • "Write a little more: a sentence or two at least": text you teach needs to be at least a couple of sentences.
  • The agent is not on the live site: check the switch is on and saved, then publish the site again.
