AutomateNexus CRM goes where you go. On a phone you use it in your phone's web browser, laid out for a small screen and a finger. When the signal drops, it keeps working and saves your changes once you are back online. At your desk, the desktop app for Mac and Windows gives the CRM a window of its own. This guide is for everyone on your team and takes about five minutes to read.
Before You Start#
- On a phone, open AutomateNexus CRM in your phone's browser and sign in as you would on a computer. There is nothing to install.
- To keep it one tap away, use your browser's Add to Home Screen option. The CRM then opens from its own icon, full screen, like an app.
- For the desktop app, download it from automatenexuscrm.com/desktop.
Using the CRM on Your Phone#
Every page fits a phone screen: nothing runs past the edge, nothing sits on top of anything else, and pages never scroll sideways.
Getting Around#
A bar along the bottom of the screen holds the four places you use most: Today (your dashboard), Deals, People and Inbox. Everything else is in the menu, as on a computer.
The button in the middle of that bar is New. Tap it to add a Person, Company, Deal or Task, ask your AI assistant a question, scan a business card, show your own card, record a meeting or make a call.
Made for Your Finger#
- Rows of tabs that have more: a row of tabs or buttons wider than the screen scrolls sideways, and it fades out at the end that has more to see.
- Bigger buttons and fields: on a touch screen, buttons and fields grow to a finger's size.
- Forms rise from the bottom: every form and confirmation opens as a sheet from the bottom of the screen and scrolls inside itself.
- Save stays in reach: on a long form, the buttons stay at the bottom of the sheet while you scroll, so Save is always one tap away.
Swipe a Row#
Lists of people, customers and companies answer to a swipe, as other phone apps do:
- Swipe one way for Call, Text and Email (each shows when the record has a phone number or email address).
- Swipe the other way for More (the record's other actions, such as Copy link) and Delete. Delete still asks before anything is removed.
- On Tasks, swipe a task to mark it Done, or Not done if it was already finished. Sweep it all the way across to do it in one move.
A swipe never places a call on its own: a call always waits for your tap.
Pull to Refresh#
To reload what a page shows, pull it down from the top and let go once the arrow turns, the way you would in your mail app. Every list on the screen reloads.
Your Week on the Phone#
- Go to Scheduling → Calendar and open the Calendar tab.
- Choose Week. The seven days sit in a strip at the top, with a dot under each day that has meetings. The chosen day's hours show below.
- Tap a day to see it, or swipe the hours sideways for the next day or the one before.
- Tap a meeting to see it. A meeting with a link has a Join button.
- To move a meeting, rest your finger on it for a moment, then drag it to its new time. A quick touch just scrolls.
The hours open at the morning, or an hour before now on today, rather than at midnight. Month and Day work on the phone too.
Log a Call Made From Your Phone#
When your workspace has no phone line in the CRM, you can still call from a record with your phone's own dialler and keep a record of it:
- Tap a phone number on a record, or swipe a row and tap Call. Your phone's dialler opens.
- Make the call as usual.
- When you come back to the CRM, it shows Log the call with and the person's name.
- Tap how it went: Connected, Left voicemail, No answer or Wrong number.
- Check the Duration in minutes. It is filled in from how long you were away; change it if needed.
- Add a Note if you like, then tap Log call. The call is saved on the record's timeline.
Tap Not now to skip it. Nothing is logged unless you choose to.
Scan a Business Card#
- Tap New in the bottom bar and choose Scan a business card.
- Photograph the card. The new person form opens, filled in from the card.
- Check what was filled in, then save.
- Tap Scan the next card to add the next one. A pile from an event goes in one after another.
Reading a card uses AI: your own AI provider, or AI credits. On a computer, use Scan a business card at the top of the new person form.
Working Offline#
AutomateNexus CRM keeps working when your connection does not. What you have opened is kept on your device, so with no signal, or a weak one, the lists and records you have looked at open as they were last loaded.
What You See#
A line under the header tells you where you stand:
- You're offline. with Last loaded: and the time, so you know how fresh the page is.
- Once you make changes, it counts them, for example 1 change will be saved when you're back online.
- Back online, it shows Saving 1 change… and then a message that Your change is saved (or Your changes are saved). Every list on the screen then reloads.
Changes You Make Offline#
You can keep working on people, customers, companies, deals, tasks, notes, activities and meetings. When you save a change with no connection, the message says Saved on this device and It's sent when you're back online. Your changes are saved in the order you made them as soon as there is a connection.
Anything that reaches a customer, such as an email, a text or a call, waits for a connection. It is not sent later on its own.
Reviewing Waiting Changes#
- Tap the line under the header, or Review at its end.
- The Changes waiting to be saved sheet lists each one, such as A new note, A new record or A change to a record, with the time you made it.
- Once you are back online, tap Save now to send them straight away.
The Desktop App for Mac and Windows#
The desktop app puts AutomateNexus CRM in a window of its own, outside your browser tabs. It is the same CRM you use on the web, so every improvement reaches it straight away.
Installing It#
- Go to automatenexuscrm.com/desktop and download the app for your computer.
- Mac: open the download and drag the app into Applications. One download runs on every Mac, Apple Silicon or Intel. The app is signed and notarized by Apple, so it opens like any other Mac app, with no security warning. If you open it straight from the installer window, it offers to move itself into Applications.
- Windows: run the installer. You can choose where it is installed, and it adds an AutomateNexus CRM shortcut.
Signing In#
Sign in with your email and password as usual. If you sign in with Google or another sign-in provider, your web browser opens to finish it, and the app shows Finish signing in in your browser. When you are done, the browser page says your sign-in is finished and offers Open AutomateNexus CRM. The app then carries on by itself, and you can close the browser tab.
Updates#
The app checks for updates on its own. When a new version has downloaded, you see A new version of the desktop app. Click Restart now to start using it.
What the Desktop App Adds#
- The Notetaker can record your computer's sound as well as your microphone, so the other people on a call are heard too, and it can offer to take notes when a call starts. See AI Meeting Notes.
- Links to other websites open in your normal browser.
- If the connection drops, the app shows a page that tries again by itself when you are back online.
- Press Cmd+R (Mac) or Ctrl+R (Windows) to reload the page.
Tips#
Troubleshooting#
- "1 change could not be saved.": tap the line and look at the change in the list. It shows Not saved: with the reason. Tap Try again, or Discard this change to let it go.
- A page shows old information: check for the You're offline. line. If you are online, pull the page down from the top to reload it.
- A record you need is not there offline: only lists and records you opened while online are kept. Open it once you have a connection again.
- "The call wasn't logged": the reason shows below the message. Check your connection and log the call from the record's timeline instead.
- "Signing in took too long, or its code was already used. Start again.": in the desktop app, start the sign-in again and finish it in the browser without a long pause.
