Overview#
AutomateNexus CRM integrates with cloud file storage services so you can bring documents, proposals, contracts, and other files from your cloud drive into the CRM. By connecting Google Drive or Microsoft OneDrive, you can pick a file with the provider's own file picker and save a link to it in AutomateNexus CRM without downloading and re-uploading it. This guide covers the setup for each supported storage provider and explains where the picked files go.
Prerequisites#
Before configuring file storage integrations, ensure you have:
- An AutomateNexus CRM account with access to Settings → Integrations. Drive and OneDrive connections are personal: each user connects their own account.
- A Google Workspace or personal Google account (for Google Drive integration).
- A Microsoft 365 or personal Microsoft account (for OneDrive integration).
- For the Google Drive file picker, a Google Picker API key configured for your AutomateNexus CRM deployment (see Google Drive File Picker Setup below).
Navigating to File Storage Settings#
- Log in to AutomateNexus CRM.
- Open Settings → Integrations (listed as Administration → Integrations in the sidebar).
- Choose Communications in the left menu of the Integrations page.
- Scroll to the File storage heading, which holds the Google Drive and OneDrive cards.
Google Drive Integration#
About Google Drive Integration#
The Google Drive integration is a personal OAuth connection. Once connected, Pick a file opens the Google Picker so you can browse or search your Drive and save a reference to a file in AutomateNexus CRM.
Connecting Google Drive#
- Navigate to Settings → Integrations → Communications and find Google Drive under File storage.
- Click Connect.
- A Google sign-in window opens. Select the Google account whose Drive you want to connect.
- Review the permissions AutomateNexus CRM requires and click Allow.
- You are returned to AutomateNexus CRM with the card showing Connected and your account email.
Using the Google Drive File Picker#
- On the Google Drive card, click Pick a file.
- The Google Picker opens, showing your Drive files. Folders cannot be selected.
- Browse or search for the file you want, select it, and click Select.
- AutomateNexus CRM saves the file's name, type, size and Drive link as a document. The file itself stays in Google Drive; the CRM stores a link, not a copy.
Google Drive File Picker Setup#
The Google Picker needs a browser API key from a Google Cloud project with the Google Picker API enabled. The key is configured for the whole AutomateNexus CRM deployment, not per organization. If it is missing, the Google Drive card says Set VITE_GOOGLE_PICKER_API_KEY to enable the file picker and Pick a file is disabled; the operator of your deployment sets that environment variable. If the card says Reconnect Google Drive to enable the file picker, disconnect with the unlink button and click Connect again to obtain a fresh access token.
Microsoft OneDrive Integration#
About OneDrive Integration#
The OneDrive integration connects your Microsoft 365 or personal OneDrive account to AutomateNexus CRM. It works like the Google Drive integration, using Microsoft's OneDrive file picker.
Connecting OneDrive#
- Navigate to Settings → Integrations → Communications and find OneDrive under File storage.
- Click Connect.
- Sign in with your Microsoft account (personal, Microsoft 365, or Office 365) and accept the permissions.
- You are returned to AutomateNexus CRM with the card showing Connected and your account email.
Using the OneDrive File Picker#
- On the OneDrive card, click Pick a file.
- Microsoft's file picker opens in a new window, showing your OneDrive files. One file can be picked at a time, filtered to common document, spreadsheet, presentation, text, image and video types.
- Select the file and confirm.
- AutomateNexus CRM saves the file's name, size, type and OneDrive link as a document; the file stays in OneDrive.
Microsoft 365 Admin Consent#
For organizational Microsoft 365 accounts, a Microsoft 365 administrator may need to grant consent for AutomateNexus CRM in your Microsoft 365 admin portal before users can connect their OneDrive accounts. Once consent is granted, all users in the organization can connect.
Where Picked Files Go#
Files picked from Google Drive or OneDrive are saved as documents in your organization's document library (Docs → Documents), each with the link back to the original file. Picking a file from the Integrations page does not attach it to a particular contact, deal or project.
File Management in AutomateNexus CRM#
Attaching Files to Records#
People, contacts, companies and deals have a Files tab on their record. Click Upload file to upload one or more files from your computer; they are stored in AutomateNexus CRM and listed with their size, each with download and delete buttons. The Files tab does not offer Google Drive or OneDrive as a source.
Document Templates#
Document templates and the documents generated from them live under Docs → Documents. Generated documents are stored in AutomateNexus CRM; they are not written to your Google Drive or OneDrive.
Testing File Storage Integrations#
- Test the connection: After connecting, confirm the card shows Connected with the right account email.
- Test the picker: Click Pick a file, choose a file, and confirm the success message.
- Test the document: Open Docs → Documents, find the new entry, and open its link. It should open the file in Google Drive or OneDrive.
Troubleshooting#
File Picker Not Opening#
- Ensure pop-ups are not blocked for AutomateNexus CRM in your browser; the OneDrive picker opens in a new window.
- For Google Drive, read the status line on the card: it tells you whether the picker API key is missing or the connection needs to be re-made.
- Clear your browser cache and try again, or try a different browser.
Google Drive Permission Denied#
- Disconnect Google Drive with the unlink button and click Connect again to refresh the authorization.
- Ensure the Google account you connected has access to the files you are trying to pick.
OneDrive Files Not Displaying#
- Disconnect and reconnect OneDrive if the authorization has expired.
- For Microsoft 365 accounts, ensure admin consent has been granted.
- Verify the connected account has access to the files you are trying to view.
